Hello and welcome to the BACB's experience tracker tutorial video in

this tutorial we'll review the correct way to use download and save the latest version

of the experience tracker the BACB's experience tracker is a free resource

designed to assist trainees in tracking their experience hours while pursuing

eligibility to sit for the BCBA or BCABA certification examination first

please verify that you're using the correct version of the experience

tracker to find the correct version go to www.bacb.com and select either the

BCBA or BCABA certification level on the certification page select experience

standards monthly system from the right-hand menu on the BCBA/BCABA

experience standards monthly system page you can review the standards for

accruing your experience hours and download necessary forms keep scrolling

towards the bottom for the experience tracker it's important that you check

the updates and information link click on the link to see more information

about the experience tracker including updates and newer versions that may be

available go ahead and select the latest version the experience tracker listed

here if you don't have a paid subscription to excel you can use the

experience tracker and Excel online free of charge by following the steps under

accessing Excel online if you're experiencing any issues with the tracker

you can fill out our technical issues form on this page when filling out the

form include as many details about your issue as possible including what version

of Excel you are using what type of operating system you are using and any

other information that may be relevant to the issue once you open the latest

version of the experience tracker make sure that you save the document to your

computer before you start entering information if you follow these steps

correctly you are all set to start using the experience tracker in this section

of the video we will walk you through the correct way to enter data into the

experience tracker and how to address some issues that might arise there in

the process of tracking your experience hours the experience tracker contains

multiple worksheets that can be navigated to by clicking on the tabs

located at the bottom of the screen in order to use this tool effectively it's

important to remember that the experience tracker will not function

properly if the data entered is not accurate then complete again make sure

to enter everything accurately into the instructions settings and supervisors

tab before you start entering the experience

into the experience log before filling out the tracker be sure to read and

follow all of the instructions

first you will want to enter your name here next enter the BACB credential

you're pursuing by using the drop down menu and selecting one of the options

below you must use any drop-down menus that are available in the experience

tracker for it to work properly if you type the information manually rather

than selecting from the drop down menu the experience tracker will not function

properly you will notice the yellow box in the corner that pops up to offer more

information about each data entry field these boxes can be moved that way they

don't block the information you need to move a box click on it and drag it to a

corner to clear the space you are working on now for this example scenario

and for display purposes only I'll select the BCBA credential it's

important to select which credential type you're pursuing because it'll allow

the tracker to accurately calculate how many total hours you need to meet the

experience requirements for that credential

the next tab is the settings tab again you can move the yellow box over to a

corner of the document if you want it out of the way this box is displaying

information about each of these fields and the experience setting column should

be very specific when you type in where you're accruing your experience hours

then and the primary emphasis of work column select from the drop down menu

your primary emphasis of work from the multiple options shown I will select one

of these if your primary area of work you'll select another drop-down menu of

options for you to choose from I'll go ahead and select one of these

then for your primary age group of client choose the relevant age group you are

working with from several options available in the drop-down menu I'll go

ahead and select one as you continue you can enter additional settings as needed

on a new row below the previous setting

after you have entered in your settings need to enter your supervisors

information you can do that here in the supervisor section remember you can drag

the little yellow box out of your way first enter your supervisors name in

this column now this asking for your supervisors BACB account ID number

your supervisor will need to provide this information to you and it may be

found in the profile section of their BACB account next enter your supervisors

BACB certification ID number and again this can be found by your supervisor

logging into their BACB account this information is also publicly available

through the BACB certificate registry at bacb.com fill in your supervisor

certification ID number under supervisor qualification select from the drop down

menu your supervisors qualification this could be a BCBA/BCBA-D a verified

experience instructor or an ABPP/ABA let's go and select BCBA/BCBA-D for

this example the date qualified to supervise can be found in your

supervisors BACB account and on the BACB certificate registry let's go ahead and

enter the date they were qualified to supervise this date is important because

they must be qualified to supervise prior to you beginning your supervision

then enter the date of your supervision contract you and your supervisor must

have a signed written contract to begin your experience hours any hours accrued

before the date of your supervision contract won't count once this

information is entered you could enter more supervisors as needed using new

rows

in this experience log you have multiple fields that require information the

first one you will enter is the experience type from the drop-down menu

for this example I will select supervised independent field work the

next column is the settings field this is going to come from the information

you entered in the settings worksheet notice the two settings I entered

previously now show in the drop-down menu remember make sure you use the

drop-down menus on all the fields that offer them as I mentioned before the

experience tracker will not function properly if you type information into a

field where a drop-down is available now we have the supervisor information again

this is a drop-down created from the information you previously entered on

the supervisors worksheet I'll select my supervisor from the choices available on

the date of experience you will type the date you attained your experience hours

make sure you are formatting this correctly when entering your information

you should use slashes instead of dashes here I will enter the month slash day slash

year in our experience time and the start time column you should enter the time when

you began your experience hours let's say you began work at 8:00 but had a

short meeting and took care of administrative tasks until 8:30 then you

work directly with clients from 8:30 to noon should only enter the time when

you're actually working in acceptable activities as defined by the experience

standards not when you're performing other job duties that may not be counted

towards your BACB the experience therefore should enter 8:30 and then if

you just put in a here it will default to 8:30 a.m. your end time and the time

you're done with that portion of your day that is countable towards your

experience if you're done at noon should enter 12 here and again if you just put

a P here it'll default this field to 12 p.m. now you'll see here that showing

experience hours listed at 3.5 for this time period you'll notice that I can't

click on this field because it's not editable by the user and it's Auto

populated from the start and end time columns under the unrestricted and

restricted hours column you will notice that 3.5 hours are listed as restricted

hours however all these hours may not have been restricted but this is what

the tracker defaults to until you type in any unrestricted hours you may have

had once that information is entered here and let's say you worked

three unrestricted hours you'll notice that the restricted hours field has gone

down to 0.5 remember this field is not editable I can't click on this field

since it's accessing the information from this other column scroll over to the

supervision fields to enter your supervision you may or may not have had

supervision accrued during this time period where you had your experience

therefore you should list this with your experience only if the supervision was

accrued during the same time period that your experience hours were happening

within this 8:30 to 12:00 p.m. time frame for this example I'll select the

method of supervision as face to face the supervision start time is when the

supervision actually began you will see here if you enter any time that is

outside of the documented experience hours the experience tracker will send

an alert if supervision occurred during this experience enter the start time of

the supervision session supervision session time must overlap with the

experience time since that time of 1 p.m. that I tried to enter came after

the 12:00 p.m. time it didn't overlap with the experience hours as required

let's try this again this time I'll say the supervision

started at 11:00 a.m. then ended at 12:00 p.m. you'll see here the

supervisor hours listed is 1 and again I can't edit this column it's pulling from

this information over here here you'll see that all of these supervision hours

defaulted to group supervision however these supervision hours may have

not been accrued with group supervision and in order to change that since you

can't edit this column you need to type the individual supervision hours that

occurred during that time period if you met with your supervisor one on one want

to add a one here you'll see this went down to zero again make sure you're

entering in the individual supervision hours for those group supervision hours

to calculate correctly you see your independent hours have changed these are

your fieldwork hours where supervision did not occur when you scroll over here

you can then list whether a client observation occurred during the

supervision time period you'll notice we have the drop down here and I will

select yes one did occur then we have our experience notes here this is just a

column to be used by you and your supervisor for any information you may

want to reference for something that may have occurred during this experience

setting if there's something you need to know

type it in the notes section now let's say you had some experience hours with

no supervision that occurred during those experience hours first select your

experience type here for this example I've selected supervised independent

field work then select the setting again make sure you use the dropdowns then

select the supervisor from the drop downs enter the date of experience here

enter in your experience start time again you can enter 8a here then it'll

default to 8:00 a.m. or you could enter in the traditional way if you wanted to

by typing 12:00 p.m. on the experience end time field these are filled

automatically make sure to enter your unrestricted hours if any were accrued

during this time period otherwise your entry will default to restricted let's

list our unrestricted hours now you see here this has gone back to 2 if no

supervision hours were accrued during these experience hours you will select

no supervision session note if you didn't have a supervision session occur

you don't need to select whether or not a client observation occurred since the

client observation wouldn't have occurred if there wasn't a supervision

session that happened now let's say that later on that day after this time frame

when these experienced hours were accrued you did meet with your

supervisor we want to make sure to list hours that you and your supervisor met

you will enter it as you did with these you select that you are doing supervised

independent field work then select the setting and it'll be the same as the

previous experience because that's what you and your supervisor are meeting on

we'll select the supervisor now even though you're not accruing experience

hours with a client here should continue to enter this information in here of

when you and your supervisor met and then again over in the supervision time

period I'll explain why here in a minute let's go ahead and enter that in let's

say we met with our supervisor from 4:00 p.m. to 5:00 p.m. that day

these were filled automatically you should list that these were all

unrestricted hours meeting with a supervisors generally categorized as

unrestricted then you should put one in here to get this column down to zero for this

example I'll select the method of supervision as video conferencing and then here and

at the same time frame those entered over here 4 p.m. to 5 p.m.

these will be filled in automatically and again make sure that you list your

individual hours otherwise this will default to group hours I will add in

individual supervision hours here you will notice that the group supervision

hours has again drop to zero here it's listing zero independent hours which is

correct because you didn't have any independent experience hours you'll see

here the experience hours tab what was accrued so far for total hours we have

3.5 plus 4 which brings us to 7.5 plus 1 which brings us to 8.5

if we go and look at this data analysis worksheet by clicking on the tab down

here you'll see that it gave me credit for all 8.5 of my hours we'll go into

this data analysis worksheet in more detail later in this video what would

happen if I didn't list the experience start and end time when I had

supervision let's take a look let's list that this supervision was based on the

supervised independent fieldwork for in-home hours during the in-home setting

with my supervisor Janie and then I'll add the date of experience that was

being supervised and you'll see here it's populated when I put that in with

the slashes now again I'm showing you the wrong way to do it I'm not going to

enter in the experience start or end time here I'm just going to scroll to

the right and enter my supervision hours then select your method of supervision

here then the meeting time from 2 p.m. to 3 p.m.

all this was individual supervision I entered that in and again make sure you

select your client observation for these supervision sessions over here let's select

no a client observation did not occur in this one you'll notice now my

independent hours show negative one hour and if we go to our data analysis tab I

should have nine point five hours now for that additional hour of supervision

that was added however it's not showing credit for that that is because I didn't

enter in my experience hours here that is why you should verify that you've

entered all of this information here if you remember and the supervision up here

the client observation was not selected before if you don't select anything for

client observation then an observation will not be counted make sure you're

selecting yes if a client observation occurred during the supervision session

so this field will update that is how you enter this information in

our last tab is the audit categories tab which takes you to this worksheet here

you'll see several audit categories listed some of these may pertain to your

monthly supervisory period others may pertain to the overall requirements for

your experience hours for example if I'm pursuing the BCBA credential under

supervised independent field work I would need 1500 total hours while other

requirements are specific to the month category a references your monthly

supervision it says trainees would sign a contract with the supervisor and

supervisors must be qualified to supervise before accumulating experience

hours and experience hours accumulated prior to signing a contract with a

supervisor or before the supervisor was qualified to supervise are not countable

again this is referring to your monthly supervision hours anything accrued in

that month prior to the contract being signed would not count category H down

here references your overall hours this says trainings must accrue a set number

of experience hours with practicum having one and a half time the temporal

value of supervisors independent field work and intensive practicum having two

times the temporal value of supervisors independent fieldwork and trainees

pursuing their BCBA a credential must acquire at least 1500 weighted experience

hours and training pursuing their BCABA credential must acquire at least

1,000 weighted experience hours across experience types and supervisory periods

these are referring to the overall hours and that's why it's important to list in

the instructions field which credential you're going for because it's going to

reference these total weighted experience hours

now that we reviewed how to use the experience tracker let's review a

tracker with a little more information filled in I'll close out of this and

save any of the information entered then I'll open this experience tracker with

more information entered you'll see you start in the instructions tab and this

instruction worksheet I've listed in my name and the credential I'm seeking in

the settings worksheet I've entered all of my settings and again as I explained

before you could have multiple I've entered all the information and all of

my supervisors remember you can list multiple that you can then use from

those dropdowns you'll see that I have all of their information listed here and

I have my first three worksheets filled out now that information will be

available to use from the drop downs in the experience log in this experience

log this row right here is not moving it's frozen to remain visible as you

scroll through that way you'll still see the column headings as you input your

data let's scroll our way up here to May in May you'll see in my first row here

that I've entered in the date of experience my start and end time and

I've entered in my unrestricted hours I'm going to go ahead and move this box

out of here and I can see more of this information you'll see for this one I

had a supervision session that occurred within my time frame here I logged that

correctly I made sure to list my individual supervision hours and I had

my client observation listed we'll scroll through the month and see I have all this

information listed between supervision and experience we'll scroll down until

we have our whole month of May entered see here in this last one as we talked

about before no unrestricted hours were listed and it

defaulted to restricted hours and maybe I didn't have any occur I can enter that

in just so I know and then my restricted hours stay the

same but again if you don't enter that in it's going to default these hours to

restricted we have our whole month of May entered here to the end now let's go

ahead and take a look at our data analysis worksheet and our data analysis

worksheet you'll notice all the information entered for the month of May

and the experience log is summarized here this is the log experience pulled

from the experience log tab therefore everything you entered on the experience

log tab we shown here if entered correctly you will see in this example I

had 99 independent hours I had 11 hours of supervision

which gives me 110 total experience hours of those 81 were spent in

unrestricted activities the number of supervision contacts I had during this

month was 8 that's tallied from each row I entered

supervision hours my number of client observations is 2 that's tallied from

each row I entered supervision hours and selected yes a client observation did

occur it lets me know the percent of experienced hours that were supervised

based off the information I entered and it lets me know the percentage of my

supervision hours that were spent in group supervision this is giving

information about all the experienced hours you entered to the right here we

have another table that's going to give us our adjusted experience this table is

showing you the number of experienced hours you can actually count based on

the experience standards in the information you've entered in the

experience log we'll see here that it's giving me credit for 99 independent

hours I'm getting credit for all the hours I entered in we'll see here this

give me credit for 11 supervision hours again it's giving me credit for all the

hours I entered it it's giving me credit for all 110 of my total hours here it

says the percent of unrestricted experience hours and we'll talk about

this a little bit more but this is referencing that you need to acquire

1500 hours for the BCBA exam and the requirement is that no more than 50% of

your hours are spent in restricted activities then you would need at least

750 unrestricted experience hours this 5% is telling me where I stand as far as

meeting the 750 hours in unrestricted activities the 7% indicated here means

I'm 7% of the way to reaching that minimum of 1,500 total hours for

supervised independent field work then you have these audit categories over

here with G and H each audit category is associated with a letter you can

reference the audit category that's triggered on the audit categories tab

with G and H here let's review these as these are the ones that are referring to

your overall hours H is saying that trainees pursuing their BCBA credential

must acquire at least 1500 weighted hours obviously I haven't reached that

point yet as I'm only in my first month H is going to appear until I get to my

1500 hour requirement therefore you will see that audit category until you get to

the point where you're at 1500 hours and you don't need to worry about it until

you have completed your total hours because again you're going to see it

each month until you reach the total number of hours needed for your

experience type G states that trainees must accumulate 50% or more of their total

experience hours while engaged in unrestricted activities I haven't met

that point where I have at least 750 hours and unrestricted activities again

in this example I need to obtain 1500 hours of supervised independent

fieldwork once I reach the point where I have 50% of the required total this

audit category will no longer be triggered keep in mind that the experienced

tracker automatically adjusts its calculations depending on the experience

type you select on the experience log let's go back to our experience log and

now let's take a look at the month of June scroll through gene and you see

I've entered all the experience information that's required as you can

see I had three supervision sessions with only one client observation and

here you can see my last entry for June we go back to our data analysis

worksheet by clicking on the tab down here and let's take a look at the logged

experience again this is the information I entered in the experience log I

entered that I accrued 53 independent hours and 9 supervised hours giving me

62 total experience hours you see here I have 14.5 percent of my experience spent

in supervision I've met the requirement for the month for the percent of

supervised independent fieldwork spent in supervision which per the BACB

requirements is 5 percent I had 39 unrestricted hours with 3 supervision

contacts and one client observation notice our percentages here and the

percent of group supervision now we scroll over to our other table with the

adjusted experience and here it shows the number of independent hours it's

only letting me count 22 of my 53 independent hours well had 53 hours why

is it not letting me count that note that will not let me change these here

because these hours on this table cannot be changed the experience trackers

pulling data from the experience log tab if we made an error when entering data

it must be corrected on the experience log worksheet it's only counting 22 of

my 53 hours and it's giving me credit for the 9 supervised hours and let me

count 31 total experience hours of the 62 I entered therefore

I'm only getting half of those why is that I had supervision and not too much of it was

spent in group supervision why am I not able to count the hours I listed in my

logged experience let's look over here on the right where our audit categories

are listed we've already discussed G and H but now I see there is an F category

here let's review the F category in the next tab we will go to our audit

categories and we have our audit category F here it states trainees must

have a minimum number of times they're observed working with the client each

supervisory period supervised independent fieldwork requires two

observations practicum & intensive practicum require four observations

and again this information is going to be pulled from the experience standards

which can be found on our website experience hours accumulated during a

supervisor period with less than the required number of client observations

will be prorated based on the percentage of required client observations met it

says here for example if the training logs three of the four required

supervision contacts under the practicum experience type only 75% of the

experience hours for that supervisor period will be deemed countable here you

see three supervision contacts listed and we know two were required with

supervised independent fieldwork however I only had one client observation went

or acquired for the month therefore I only had 50% of the client observations

required prompting the tracker to only count 50% of those hours this is why

those total hours were cut in half because I didn't meet the requirements

for the number of client observations you'll notice that the percent of

unrestricted hours accumulated and percent of total experience hours

accumulated did go up since the previous month that's how these audit categories

can be used now if you didn't have the client observation this is just going to

be the number of experience hours you would be permitted to count for that

month now we're going to go into our month of July and again we see where we

have all of our fields filled up here throughout the month our supervision is

occurring we had a client observation here we had another client observation

occur here that's two we've met our client observations for the month of

July we see our last entry for the month we'll go back to our data analysis tab

and we'll see that had 93 independent hours and five supervised hours giving me

98 total experience hours with 52 and unrestricted activities

I had three supervision contacts and two client observations I was just over the

minimum for the percent of supervision which is five for supervised

independent field work for practicum that would need to be 7.5 and for intensive

practicum it would need to be 10 you just want to make sure that the percent

is met based on the experience you were accruing I had 0% in group supervision

we see here because I had all of the requirements for a monthly period that

I'm able to count all of my hours my independent hours

my supervised hours my total experience hours and now here we see that a percent

of unrestricted experience hours has increased each time I've had 81, 39, 52

now it shows 11% of reaching that minimum of 750 hours in unrestricted

activities they can have no more than 50% of hours and restricted activities

when I get to that 1,500 point we'll also see that our percent of experience

hours accumulated increased we see where you entered in our hours we have

110, 31, 98 now it shows 16% of reaching that total

of 1500 hours it's really important to reference this percentage say you had 80

percent of your total experience hours accumulated and only had 30 percent of

the unrestricted hours you needed you really need to start focusing on

accruing more hours in those unrestricted activities to meet that

minimum requirement we see here again we have those audit categories of G and H

were based on your overall hours do they meet the requirements at the end these

should clear out

now real quick I want to show you with one of these completed months why it's

so important that you entered information in those instructions

settings and supervisors tabs and you don't just type something in your

experience log let's say I have a new supervisor in a new setting and I didn't

enter in these worksheets I select my supervised independent field work and

now I'm working at this new setting but I didn't enter in my setting tab I just

entered it in here rather than using the drop-down I have a new supervisor I

didn't list them in the supervisor tab I just entered it here I accrued the

experience hours under their supervision in July I worked from 8 a.m. to 5 p.m.

that day listing unrestricted hours here I didn't list my supervisor or setting

and the supervisor or setting tabs I didn't use the dropdowns I just typed

the supervisor and setting into the experience log now we go back to our

data analysis it won't calculate my adjusted experience I have all these n/a

fields here because it doesn't know what my adjusted experience is since the

tracker doesn't know that these hours can be counted because I didn't enter

the supervisor and setting information into the appropriate worksheets that's

why it is important that you use the available drop-down menus when you enter

your information if you don't the adjusted experience tables will not work

correctly and won't accurately show you how many hours you can count that's how

this experience tracker can be used and all the information that is required to

make sure that it's being used effectively that will conclude our training of the

Behavior Analyst Certification Board's Experience Tracker.

Hello and welcome to a brief overview of the BACB's experience tracker in this

tutorial we will review where to find the most updated version and give a

brief description of the different sections of the tracker for detailed

information on how to use the tracker please watch our full-length tutorial

video to start make sure you have the latest version which may be found on the

BACB's website by selecting the link to the experience standards monthly system

page located on the side menu of the BCBA or BCaBA landing page verify the

version by comparing the name at the top of the tracker to the information listed

on the experience tracker information and updates page you can access this page by

clicking the updates and information link next to the experience tracker link at

the bottom of the experience standards monthly system page once on the page

select the latest version of the experience tracker listed here if you

don't have a paid subscription to excel you can use the tracker in Excel online

by following the steps here under accessing Excel online once you open the

latest version of the experience tracker make sure you save the document to your

computer before entering any information now let's briefly review the six

distinct tabs that you will encounter within this document note these tabs

must be used appropriately in order for the tracker to accurately count your

hours and track your experience correctly the experience tracker

includes six worksheets or tabs the first tab is the instructions tab this

is where you'll find the instructions on how to use the experience tracker and

where you'll enter your name and the credential you are pursuing please note

this tab must be completed prior to entering information in the experience

log the second tab is the Settings tab on this tab you will list the settings

in which you will be working when accruing your experience hours for

example in home or a facility and in the type of work you will be doing for

example working with children with an emphasis on behavior analysis please

note this tab must be completed prior to entering information in the experience

log the third tab is a supervisors tab here you will enter information about

your supervisor or supervisors please note this tab must be completed prior to

entering information in the experience log

as with the instructions and settings tab the tracker will not function

properly if any information is left blank on these tabs the fourth tab is

the experience log tab here you'll record your experience in supervision

hours as you accrue them for each supervisory period the fifth and sixth

tabs are the data analysis tab and audit categories tab these tabs are not

editable by the user the data analysis tab pulls data from the other tabs and

summarizes the information for you the logged experience table compiles the

information you entered into the experience log and the adjusted

experience table shows how many of those hours are accountable based on whether

the requirements were met for the month if any requirements were not met

a letter representing an audit category will be displayed the audit categories

are described in detail on the sixth tab again for more details on each of these

tabs please review our full-length tracker tutorial video
